Vehicles

The Vehicles are the most important element of the system, after all it is the vehicles that we are tracking and monitoring on the dashboard.

To view existing Vehicles, from the top menu bar click Resources then Vehicles; the form displays a list of current vehicles. This list can be filtered by Admin Groups if they are set up; click Set Filter and use the form displayed to filter the list of vehicles by Admin Groups. If a filter has been set, click Clear Filter to remove the filter and see all vehicles.

New Vehicle

To create a new Vehicle, click New Vehicle and in the form enter a Vehicle Name.  The Vehicle Name is the only required field for a Vehicle.  The name entered should be how each vehicle is identified or commonly known.   

Additional information can be entered about the Vehicle; entering the VIN and clicking Decode will populate characteristics about the Vehicle encoded in the VIN.  Use the drop-down list to assign a Vehicle to an Admin Group.

To assign a GPS Unit to a Vehicle, click the Add GPS Unit button and select the GPS Unit from the list.  All “available” GPS Units will be on the pull-down list – the GPS Units not already assigned to a vehicle. 

All fields are optional, except Vehicle Name which is the only required field.

NameThe vehicle external identification, usually the number painted on the side of the vehicle. This field is required.

VINVehicle Identification Number – enter the VIN and click Decode to populate additional vehicle information encoded in the VIN including the year, make, model, manufacturer, engine, trim and transmission fields.

License StateUse the drop down to select a State.

Additional fields may be displayed based on configuration options:

Max WeightMaximum weight the vehicle can carry in lbs.
Max CubeMaximum dimensional space of the vehicle in square feet.
Cost per UseCost to use the truck – includes daily safety inspection cost, paperwork cost, and vehicle overhead.
Cost per MileCost to operate the truck – includes fuel, maintenance, tires, brakes, battery, and other scheduled maintenance or repair costs.
Cost per Driving HourRegular hourly pay.
Admin GroupUse the drop down to select an Admin Group.

Edit

To edit an existing Vehicle, click Edit in the Action column on the row of the Vehicle. A form is displayed to change the information which is the same as the one used to create a New Vehicle; if a GPS Unit is assigned the information will also be displayed. Click OK to save changes or Delete to delete the Vehicle.

Existing Vehicles cannot be renamed. If a Vehicle is permanently taken out of service, it should be deleted. A new vehicle with the same name can then be added.

Alerts

To view the Alerts for a specific Vehicle, click Alerts in the Actions column on the row of the Vehicle. A form is displayed to show all alert messages for the Vehicle.
