Overview for Administrators & Primary Users
Major Options
The first option is whether Jobs are assigned to Trips before the Trip begins. If the Jobs are known in advance, they must be uploaded. Once uploaded, they can be assigned to Trips in any of these ways:
- Specifying the Trip and sequence.
- Manually assigning the Jobs to Trips.
- Using the automatic assignment feature to make the assignments.
Template Plans are used to specify the Vehicles and Workers to be used on a regular basis. There is no limit to the number of Template Plans that can be created. Normally, there is one Template Plan for normal working days, and other Template Plans for weekends and holidays. If the work to be done varies by the day of the week, Template Plans can be created each day of the week.
The next option is how Vehicles and Workers are assigned to Trips. They can be assigned in any of these ways:
- Specifying the Vehicle and driver (Worker) in a Template Plan; Vehicle and Worker can change at any time.
- Specifying that Trips always use the same Vehicles.
- Specifying that Workers are always assigned to the same Vehicle, which is assigned to the same Trip.
Security Considerations
Access to various functions is controlled by the authority level of the user. See the Menu Authority topic for more information on this functionality.
The following levels are supported:
- Tenant Admin
- Manager
- Supervisor
- Planner
- Read Only
Tenant Admin | Highest level of authority. Can perform any function except the assignment of GPS unit from the vendor. |
Manager | Intermediate level of authority. Can perform various maintenance functions. |
Supervisor | Lower level of authority. Can view and execute functions on the map, and can maintain locations. |
Planner | Can create and manage plans, upload jobs, and optimize. |
Read Only | Can view the map, but not make any changes. |
Setup
To effectively implement the application, configuration must be completed before using the system. Much of the configuration will be completed by the Support team including upload or entry of the necessary data.
Admin Groups | For larger fleets Admin Groups help organize Trips, Vehicles, Workers and Locations. See Admin Groups topic. |
Locations | Enter locations for terminals and customers. Terminals are company facilities like warehouses, depots, or other places Vehicles are parked overnight. Customer locations are where Vehicles stop and business is conducted. Geofences can be created for any location. See Locations topic, and also Upload Locations and Location Categories topics. |
GPS Units | GPS setup is always done by the Support team. GPS unit data can be received electronically from the GPS unit provider, entered manually, or uploaded from a spreadsheet. See GPS Units topic. |
Vehicles | Vehicles can be created automatically when GPS Units are loaded, entered manually, or uploaded from a spreadsheet. Entry of VIN data is not required but strongly encouraged. See Vehicles topic and Upload Vehicles topic. |
Workers | Workers can be entered manually or uploaded from a spreadsheet. See Workers topic and Upload Workers topic. |
Users and Contacts | Each user accessing the application must be entered manually. See Users and Contacts topic. |
Alerts | See How Do I Use Triggers and Alerts topic and also Alert Triggers and Manage Alerts topics. |
Template Plans | The final step is to create Template Plans that will define how Trips will be created each day. Create a Plan, create Trips, and assign Vehicles and Workers. See Plans topic and Trip Defaults topic. |
